FAQ

Question #1: What does “COG” mean?

Answer: COG refers to Cost Override Group, and in this process it identifies the approver role/team responsible for reviewing and approving bids.

Question #2: Is BEM automated?

Answer: Phase 1 is not heavily automated. It focuses on manual bid entry and approval. More advanced enhancements are expected later (Phase 2).

Question #3: How are bid numbers assigned?

Answer: If the vendor provides a bid number, you can enter it manually. If not, you can use the system’s auto-generate option. Either method works—both are treated the same within BEM.

Question #4: Do I have to enter an end user for every bid?

Answer: Some vendor programs require an end user for certain discount types. If the field is mandatory based on your selection, BEM will prompt you to enter it before continuing.

Question #5: Can I add multiple SKUs or line items to one bid?

Answer: Yes. BEM fully supports bids with multiple line items, and each line can have its own discount type and values.

Question #6: What types of discounts can I enter?

Answer: BEM supports a variety of discount formats, such as:

  • Delta off standard cost • Percentage-based discounts

  • Other program-specific discount types

Each line can use different discount methods as needed.

Question #7: What happens after I submit a bid?

Answer: Your bid goes directly to the COG/VDD team for review. They will approve, deny, or place the bid on hold. You may receive follow-up questions if something needs clarification.

Question #8: Can I edit a bid after submitting it?

Answer: Sales users can edit a bid only before it's submitted. Once it’s sent to COG/VDD for review, changes may require coordination with COG/VDD depending on your internal workflows.

Question #9: How will I know if my bid is approved?

Answer: The status will update in BEM (Approved, Denied, or On Hold). Depending on your local process, you may also receive a notification or follow-up message.

Question #10: Why do I see similar vendor names when selecting Master Vendor?

Answer: Because some vendors may have multiple master vendor records. If options look similar, choose carefully or ask your local support contact for guidance.
