Overview:
This guide explains how to link hardware and warranty products in CRM to ensure successful EDI processing and correct serial number assignment in Xvantage for Associates.
Process:
Go to My Apps and open Okta.
In Okta, search for X4A and open it.
Tip: You can also access Xvantage for Associates directly from My Apps.
In X4A, hover over the left navigation menu and select Sales.
Select CRM from the Sales sub-menu.
In the CRM left navigation menu, navigate to Sales > Quotes.
Ensure that your view is All Quotes - ANZ to be able to view all quotes.
Locate the required quote using:
Filter By, or
Filter by Keyword
Open the quote by selecting the quote number.
Navigate to Product Import and enter the required SKU details.
Select Add Products.
Eligible products may link automatically and display a green W icon.
A yellow W icon indicates that manual linking is required.
To manually link a warranty to a hardware product, select the hardware item using the checkbox/flag next to the part number.
Select Attach Changes.
The warranty will be linked to the hardware item.
The W icon will change to green when linking is successful.
Select Open Search to access the end-user fields.
Add the end-user details using one of the following methods:
Select an existing end user from the database.
Use + Create to create a new end-user record.
Search using the first few characters of the end-user name and select the correct record.
Return to the product page and select Submit Order.
If the selected end user does not have a contact name and email address, enter the email address in both required contact email fields.
Click Save & Submit.
Review the order details on the confirmation screen and choose whether the order should be processed as Print or No Print.
The system will split the order into two linked orders:
Hardware order (for example: 20-16598-21)
Warranty order (for example: 20-16598-11)
The Order Confirmation page will display the generated order numbers.
Under Order Distribution Details, select either invoice number to review the order information and verify that the hardware and warranty orders are correctly linked in Impulse.
Important: If the hardware and warranty orders are not linked correctly, the order will fail validation and an error message will be displayed.
Expected Result:
✅ Hardware and warranty orders are linked successfully.
✅ Separate hardware and warranty order numbers are generated.
✅ EDI processing and serial assignment can proceed without errors.
