How to Upload a Vendor Bid in Vendor Programs in Xvantage for Associates

Overview:

This article will provide steps how to upload a Vendor bid in Vendor Programs in GDE in Xvantage for Associates (X4A).

Process:

1. Go to My Apps and open Okta.

2. In Okta, search for Xvantage for Associates (X4A) and open it.

3. Within X4A, hover over the left navigation menu Revenue and click GDE deals & discounts or Navigate to GDE by using the standalone link: Ingram Micro - GDS.

4. If using the standalone link, from the homepage, choose Vendor Programs.

5. Enter a vendor name in the Vendor name text box and select it from the list.

6. Select the vendor program name from the Program name column.

7. Select the Train parsing model tab.

Four steps are listed:

• Upload vendor quote

• Map output data

• Review&Test data mapping

• AI Instructions.

8. Add a new vendor bid using Drag and drop or Browse.

9. A message appears that tells you the bid was uploaded successfully.

10. Click the Next button to move to Map output data.

    

Note: The Sales and VDD teams use the first three steps. The last step is reserved for Engineering.

11. An image of the vendor bid appears in the left pane.

12. The mapped data fields appear in the right pane with four tabs:

• Header Product

• Lines Reseller

• End Customer

13. Select the pencil icon to edit the values for a specific field.

14. Click Save to close the Edit Field window.

15. Click Next to view the data fields in the remaining mapped data fields.

    

    Note: If you see an error message in a mapped data field during VAPT training, it means the tool could not automatically recognize or extract a required field from the uploaded bid file. Manually correct the mapped fields by pulling information from the vendor bid image.

16. The window for Review & Test data mapping opens.

17. A table displays a summary of the mapped fields.

18. Click each tab to review the mapped fields.

19. Upload another vendor bid file to test your mapped fields.

20. A message appears that the test vendor bid was uploaded successfully.

21. Click the View JSON button to see the mapped data fields with values.

Click Exit to close the window and click Yes in the Exit pop-up.

22. 1Click the Ingestion summary tab.

It provides a tracking dashboard showing how many bids have been:

• Used to train VAPT (Parsing history)

• Received and parsed in production (Production bids)

• Successfully parsed or failed during parsing (Trained bids)

Note: Click the Filters icon to search a specific date range. The default is all dates.
