Merging Duplicates FAQ CRM

Prev Next

Summary:

Duplicate detection helps identify potential duplicate records when records are created or updated. Users can merge duplicate Account, and Contact records by selecting a primary record and combining relevant information from a secondary record. Keep in mind that only two records can be merged at a time, and duplicate detection does not run during certain actions, such as record merges or status changes.

Question #1: When are duplicate records detected?

Answer: Duplicate records are typically identified when a new record is created or an existing record is updated. However, duplicate detection does not run during certain actions, such as merging records, marking activities as completed, or changing a record's status (for example, activating or reactivating a record). This means duplicate records created through these actions may not be automatically flagged.

Question #2: How do I merge duplicate records?

Answer: From the view page in your model-driven app, select the two duplicate records and click Merge from the command bar. In the Merge dialog, choose the primary record you want to keep, then select any fields from the secondary record that you want to transfer. Select OK to complete the merge.

Question #3: Which record types can be merged?

Answer: Merging is supported only for records in the Account and Contact tables.

Question #4: How many records can I merge at one time?

Answer: You can merge two records at a time. If you have multiple duplicates, you'll need to repeat the merge process for each additional duplicate record.
