Question #1: Can I clone a quote?

Answer: Yes! You can clone a quote to make changes and edit details. When you activate the new quote, CRM will reference the original quote and create a new deal opportunity in Deal Analyzer. Cloned quotes will not be linked or referenced in Deal Analyzer. They will be treated as a new deal.

Question #2: Can you revise a quote that is in Deal Analyzer?

Answer: Yes! You can revise a quote that has a deal created in Deal Analyzer. When you do, any existing status (approved, rejected, or pending) will be closed out and linked to the deal in Deal Analyzer. Activating the revised quote will trigger a new Deal ID in Deal Analyzer and initiate the approval process if material changes are made that affect the value (ex, price, margin, term length, duration, etc.). If nonmaterial changes (ex. Comments, start date, expiration date, reseller information, etc.) are made, no new deal is created and approval status is maintained with only the fields being updated in Deal Analyzer.

Question #3: What advanced features and benefits does Deal Analyzer provide compared to MPD?

Answer:

  • Deal Analyzer on X4A enables mobile access and approvals, eliminating the need for VPN and providing a modern react-based experience for users.

  • Deal Analyzer reduces duplication of creating the quote and then filling out a secondary form with the same information.

  • Deal analyzer introduces new automation allowing deal creation to begin at the quoting stage in CRM.

  • Finance now displays historical data and integrates with OneStream, providing a comprehensive view of profitability by automatically calculating metrics like contribution margin and return on working capital. Manual excel templates are no longer needed for MPD Evaluation.

  • FP&A users can perform profitability margins directly within the tool, streamlining the process and improving efficiency.

Question #4: How can I view my deal in Deal Analyzer and see the status?

Answer:

  1. X4A: Navigate to the toolbar on the left side, go to the Finance tab, and select Deal Analyzer. This will take you to the Deal Analyzer dashboard, where you can search and filter to access your deal. The status of the deal will be displayed in the Reviews and Final approval columns.

  2. Email Notification Link: Access your deal directly from the link provided in the email notification. You will be able to see what has been approved/rejected and by who or if it is still pending on the deal page when you click on the sign-offs icon at the top or on the Sign-offs tab.

  3. CRM Quote Link: Enter the deal directly from the Deal Analyzer link within the quote created in CRM. You will see the overall status on the quote: pending, approved, rejected, deactivated, or cancelled.

Question #5: Can I see someone else's quotes that are pending in Deal Analyzer?

Answer: Absolutely! You can view someone else's quotes that are pending in Deal Analyzer. Simply access the Deal Analyzer Dashboard and use the filter options to search by requestor or approver.

Question #6: I am in credit or finance and will be on PTO. Who will review my deals?

Answer: You can ensure your deals are reviewed by using the delegate feature in the Deal Analyzer Dashboard. This feature allows you to assign access to another user for your deals within a specified date range. Please note that the delegated user will retain their current approval thresholds. FBMs can always review other deals and any credit associate at the same level can review and approve a deal.

Question #7: Are there any automatic approvals?

Answer: Yes, there are automatic approvals available. Each country can configure the deal thresholds that they would like to auto-approve or review, for example all deals under 1K. This allows for flexibility and customization based on specific regional requirements.

Question #8: What if the account is on a credit 9 hold?

Answer: If an account is on a credit 9 hold, deals will bypass any automatic review or approval processes. Instead, a manual review will be required to proceed. You will also see a notification that the account is on credit hold in Deal Analyzer on the Credit Analysis tab.

Question #9: Where can I see who needs to approve my deal?

Answer: To see who needs to approve your deal, follow these steps:

  1. Within the Deal: At the top right side of the deal, you will see a small person icon. Clicking on this icon will provide a list of everyone who needs to review the opportunity.

  2. Dashboard View: You can find the person icon mentioned above in the Dashboard view next to each deal at the start of a record.

  3. Click the person icon on the Dashboard or within the deal to see team assignments.

Once the status of the deal changes from pending to reviewed, approved, or rejected, the name of the person who set the status will be displayed.

Question #10: Can a requestor be changed on a deal?

Answer: In the situation where an associate needs to be removed as a requestor and a new associate needs to be assigned, follow these steps. This can be done for a specific deal or all deals.

For a specific deal:

  1. From the Dashboard, check the deal you want to action or open the specific deal and click the Re-assign button at the bottom of the screen.

  2. In the Re-assign To field, type at least three characters to search and select the correct Sales Associate from the dropdown list.

  3. Click the Assign button to complete

To reassign all deals created by a requestor:

  1. From the Dashboard, click on the Administration tab.

  2. Fill in both the current owner and new owner. Type at least three characters in each to search and select the appropriate Sales Associates.

  3. Click the Save button to complete the reassignment.

Question #11: Does every billing need its own sales order number?

Answer: Every deal must have an SO/invoice number for each billing. For example, if it is a 3-year annual deal, there should be three sales orders, one for each year. If it is 1 year monthly, there should be an update made for each month. If a sales order is not found at the anniversary date, the deal will show in the Aging Report.

Question #12: Does this affect the process for the Large Deal Portal (LDP)?

Answer: The Large Deal Portal (LDP) process is separate from Deal Analyzer, the process and the link to LDP will remain unchanged.

Question #13: What reporting is available in Deal Analyzer?

Answer: Aging and exposure reporting are available as well as weekly reporting for active deals to both the requester and leadership team. Additional customizable reporting is also available via Looker.

Question #14: Who has access to Feature Configurations?

Answer: Assigned Country Admins will have access to the country feature configuration page.

Question #15: How and where do I upload documents to the deal?

Answer: The requestor can upload documents (New Terms & Conditions, copy of PO, copy of quote request, etc.) by clicking into a specific deal and then selecting the paper clip icon. You can view any attachments or add any comments here. Please note that for legal review, the new T&Cs will be required to be uploaded before the review process will begin.

Question #16: How can I tell if a Deal has been ordered?

Answer: A deal will be shown in the Deal Analyzer Dashboard when the post approval section shows "Accepted by all parties" is set to Yes. This means that the deal has been accepted, we have received a PO for the deal, and at least one order number has been provided for the deal.

Question #17: How can I access MPD deals in Deal Analyzer?

Answer: All MPD deals that have either been fully approved or rejected will be migrated into Deal Analyzer. A migrated deal will reference the original MPD # associated with it along with all the approval or rejected deal information.

Question #19: What’s changing in MYD Post-Approval Process?

Answer: You must verify the contract start date at the time of order entry, as it may have changed since the original quote was created and approved.

This step has become a requirement as part of the post-approval process.

Please ensure that you incorporate this check moving forward to help maintain accuracy and compliance.

Note: To all associates who place MYD (Multi-Year Deal) orders: When entering post-approval order information in Deal Analyzer, there is now an additional required step introduced by our Accounting and Compliance teams.

Question #20: How do the recent enhancements in Deal Analyzer improve the deal governance and life cycle management of Xvantage for Associates?

Answer: Several enhancements in Deal Analyzer improve deal lifecycle management, approval governance, and cancellation handling to support more accurate review and financial control within CRM. This article answers how the recent deal analyzer enhancements improve deal governance and lifecycle management.

  • Quote revision handling and approval logic: Deal Analyzer now evaluates quote revisions directly in CRM to determine whether existing approvals can be retained or if a new Deal Analyzer record must be created. Non-material updates such as comments or address changes keep the current approvals active, while material changes (e.g., price, quantity, contract term, billing frequency, or SKU changes) automatically close the existing record and generate a new Deal Analyzer record for re-approval, ensuring approval integrity and compliance.

  • Extended deal term support up to 7 years: Deal Analyzer now supports deal terms up to 7 years in the Deal Analyzer tab within CRM. Billing and credit exposure calculations now include Years 6 and 7, and deals exceeding five years automatically route for CFE/CFO-level approval. Updated validations and warning messages guide users when entering longer contract terms.

  • Multi-Period Deal (MPD) cancellation management: Sales associates can now cancel vendor-approved Multi-Period Deals directly from the Post Approval section in Deal Analyzer using options for Full Cancellation or Partial Cancellation. A new “Canceled” status has been introduced for tracking and reporting, ensuring canceled deals are excluded from exposure calculations and preventing unnecessary anniversary order notifications.
