Question 1: What is ETO?
Answer:
Email to Order (ETO) is a process that reads a PO and places the order without needing manual touch. The customer must be enrolled in ETO and the PO must be sent to the ETO email at XvantageETO@ingrammicro.com by an Ingram Micro associate.
PO Received: PO has been sent from the partner to IM sales team.
PO is sent to ETO: IM associate updates subject line with Jarvis ID number and forwards the PO to the ETO mailbox. The ETO mailbox should only be used by associates.
Question 2: What are the benefits of email to order?
Answer:
Automated order entry - ETO uses AI to read POs and place orders automatically instead of manually entering orders in Xvantage for Associates.
Enhanced Customer Experience - faster processing times and fewer errors
Quick Delivery - when orders are processed quicker, the customers can expect to receive the products sooner
Reduced Workload - minimized manual data entry
Improved Accuracy - ETO’s AI-driven process ensures that orders are entered accurately, reducing the chances of human error.
Transform - ETO can transform a customer’s business by introducing automation
Question 3: What is the ETO Path?
Answer:
PO Received: PO has been sent from the partner to IM sales team.
PO is sent to ETO: IM associate updates subject line with ID number and forwards the PO to the ETO mailbox. The ETO mailbox should only be used by associates.
PO Accepted: IMSO generated and is now editable in Order Management
Exception: something is stopping the IMSO from being placed fully, user should go to Order Management to finish editing in progress order, submitting from that tool.
PO Rejected: the PO as forwarded cannot be placed by ETO. Associate should click the link in the rejection email to cancel the in-progress order from Order Management, then place manually in
Xvantage for Associates.
Question 4: What is the pre-requisite role needed before ETO enablement?
Answer:
The PO Configurator is used to train the ETO AI to read the POs by mapping example POs supplied by the sales team. This set-up takes only 15 to 30 minutes.
Users who set up accounts in the Configurator are called Mappers.
Mappers should request Template Configurator Basic+ for setting up Resellers in tool.
If associate does not yet have this persona: it can be accessed via ticket with CSD-Associate Access Request.
Question 5: Who is a good fit for ETO use?
Answer:
The optimal type of POs for ETO are from partners who consistently send the same type of file (always PDF, always XLS as an example)
Not using other Integrations (API/ EDI)
Each PO is submitted on its own email thread
Question 6: What are the ETO Considerations?
Answer:
SKU needs to be orderable in the platform, no custom SKUs.
CTO vendors are only available in the US.
POs recommended to be limited to a single page. If longer, AI might have issues reading.
Duplicate VPNs.
No vendor limitations, user can purchase any Vendor on the product catalog.
