Overview:
This article will provide steps how to review a bid in the Bid Entry Management Dashboard (BEM) in GDE in Xvantage for Associates (X4A).
Process:
Go to My Apps and open Okta.
In Okta, search for X4A and open it.
Within X4A, hover over the left navigation menu Revenue and click GDE deals & discounts or Navigate to GDE by using the standalone link: gds.ingrammicro.com.
If using the standalone link, from the homepage, choose Bid Entry Management.
When COG/VDD users access the dashboard they will see bids awaiting action on the Bid Queue. By default Bid Entries will be sorted as FIFO (First In First Out). Use the filtering options to sort through and find the Bid Entry you want to open.
Click on Req ID to open the bid request form for that entry.
Click on Assign to me to review and act on the request.
What COG/VDD Typically Reviews: While exact review criteria can vary, the intent is that COG/VDD evaluates:
Discount structure and reasonableness
Impact on cost/margin
Completeness of required fields
Alignment with vendor program constraints
Actions Available to COG/VDD: Once they are assigned to a bid request, COG/VDD users are able to:
Modify Request: Allows you to modify fields in the Bid Request
Approve Request: Bid is accepted and can proceed.
On Hold: Bid requires clarification, correction, or additional review
48 Hr Drop: Bid is On Hold for 48 hours.
Deny: Bid is rejected.
Communicating Issues Back to Sales: If the bid is incomplete or unclear, place it On Hold or Deny it based on your internal policy, and provide the reason through the comment section. Once the status changes, both the Bid Requestor and the COG Approver will receive an email confirmation. When a Bid is approved, it will be findable in GDE shortly after.
Note: If you do not see the discount available in GDE after approval, it might be under the “Exceptions Queue” in GDE.
