Managing Errors and Incomplete Orders Troubleshooting Xvantage™

Prev Next

Summary:

This article outlines reasons why an order may be incomplete and how to verify or resolve the issue in Xvantage.

Issue:

An error message appears when the system blocks the placement of an order due to common issues such as missing required information (e.g., PO number or shipping details), ordering below the minimum quantity, using an expired quote or pricing, or encountering a payment‑related problem.

Resolution:

  1. Missing Required Information If you receive an error indicating missing required information:
Ensure all mandatory fields marked with an asterisk (*) are completed. Enter a valid Purchase Order (PO) number in the appropriate field. Confirm that both Billing and Shipping Addresses are correctly filled out. If required, verify that End User details are provided and accurate. Click “Save” or “Next” once all mandatory information has been entered.

  2. Minimum Order Quantity Not Met:
If the error indicates that the selected quantity is below the vendor’s minimum order requirement:

    • Review the product page or the displayed error message to identify the minimum quantity needed.

    • Adjust your order to meet or exceed the specified minimum.

    • If you are uncertain about quantity requirements, contact your account manager for assistance.

  3. Quote Expired or Pricing Outdated:
If the quote you are converting to an order has expired or contains outdated pricing:

    • Navigate to the Quotes section and check the quote’s expiration date.

    • If the quote has expired, create a new one from the catalog to obtain updated pricing.

    • If pricing appears inconsistent, confirm the correct pricing with the vendor or pricing team before continuing.

    • Delete or archive expired quotes to prevent future errors.

  4. Payment Method or Account Restrictions:

    • Verify that your account has an active and valid payment method (e.g., credit terms, credit card).

    • Check for any credit limit holds, payment approval requirements, or account restrictions.

    • Ensure that any Purchase Order used is valid and properly approved.

    • If issues persist, contact your Finance or Credit Team for support.
