Purpose / When to Use This Guide:

This guide explains how to cancel an order in Xvantage and outlines when Support intervention is required.

Order cancellation eligibility depends on the order status and vendor processing rules and multiple other factors.

  1. Which Orders Can Be Cancelled?

    1. Orders the Customer/Sales Can Cancel (Self‑Service)

The following order statuses can be cancelled directly in Xvantage/CMP:

      • Scheduled: The order has been created and is scheduled to take effect at the next renewal.

      • Failed: The order failed during processing and can be cancelled without Support assistance.

Note: User permissions may vary. If the Cancel Order option is not available for a Scheduled or Failed order, contact Sales. If Sales also cannot see the option, raise a Support case for further investigation.

    2. Orders That Require Support Intervention

      • Provisioning in Progress - The order has been submitted to the vendor and is currently being provisioned.

        In this status:

        • Customers cannot cancel the order.

        • Sales cannot cancel the order.

        • Support must determine whether cancellation is still possible.

Support can cancel the order only if:

        • The vendor has not completed provisioning.

        • The vendor allows cancellations at that stage.

        • No irreversible actions have been completed by the vendor.

If the vendor has already provisioned the order, cancellation is no longer possible.

      2. Select Cancel Order in the upper-right corner.

      3. In the confirmation window, select Yes, Cancel Order and provide a cancellation reason.

    9. The order status updates to Cancelled. Status updates may take up to 10 minutes to appear in the platform.

  3. How Support Handles “Provisioning in Progress” or “Pending” Orders

If the order status is Provisioning in Progress or Pending, the customer or Sales team must submit a Support case.

    Support will:

    1. Check Vendor Processing Status

      Support verifies whether:

      • The vendor has already provisioned the order

      • The system still allows cancellation

      • The order can be cancelled

    2. Cancel the Order (If allowed)

If the vendor has not yet completed provisioning:

      • Support cancels the order internally

      • Support confirms cancellation with Sales/Customer

    3. If Cancellation Is Not Possible

      Support informs Sales that:

      • Cancellation is no longer possible

      • Reason it cannot be cancelled (Example: The vendor has already processed the order)

      • A return request may be required (depending on vendor policy)

      • Change order to reverse the order if it has reached the completed status (depending on vendor policy)

    4. Important Notes / Limitations

      • Only Scheduled and Failed orders can be cancelled by customers/sales

      • Provisioning in Progress and Pending orders require Support intervention

      • Support cannot cancel orders already provisioned by the vendor

      • Vendor policies vary (Adobe, Microsoft, security vendors, etc.)

      • If cancellation is not possible, a return request to the vendor or may be the only options or a change order to reverse the order if it has reached the completed state (subject to vendor rules)

      Expected Outcome:

      • Eligible orders are cancelled immediately

      • Ineligible orders are reviewed by Support

      • If cancellation is possible, Support completes it

      • If not, Sales is informed and alternative actions (e.g., return) may be required
