Prev Next

Overview:

This document will help you how to Enable or Disable Auto Renew for an Adobe Subscription in Xvantage for Associates (X4A).

Audience / Team to Handle:

  • Customer / Reseller (Primary): This is a self‑service action and should be performed by the customer

  • Sales: May assist the customer by disabling auto‑renew on their behalf

  • Support should only intervene if:

    • The platform shows an error when disabling auto‑renew

    • The change does not update after several minutes

    • The option is missing or unavailable

Purpose / When to Use This Guide:

  • This guide explains how to disable auto‑renewal for an Adobe subscription in Xvantage for Associates. Disabling auto‑renew prevents the subscription from automatically renewing at the end of its current term.

Prerequisites / Requirements:

  • Access to Xvantage for Associates (X4A).

Process:

  1. How to Disable/Enable Auto Renew in Xvantage for Associates

    1. Navigate to Subscriptions:

      Go to: Sales → Subscriptions.

    2. Select the Subscription:

Open the subscription you want to modify.

    3. Open the Manage Renewal Menu:

You can see the current auto-renewal state.

    4. Enable/Disable Auto‑Renew:

      Toggle Enable/Disable Auto‑Renew.

  1. What Happens After You Disable Auto‑Renew

    1. Vendor Confirmation Delay

      After toggling auto‑renew off:

      • Xvantage for Associates sends the request to the vendor (Adobe, Microsoft, etc.)

      • The vendor must confirm the change

      • This can take several minutes

During this time, the UI may not immediately update.

    2. “Pending Change” Banner

While waiting for vendor confirmation, a banner appears: "There is pending change of this subscription's auto-renewal setting. You will be able to change the subscription when the request in external system is completed.”

      This is normal and expected.

    3. Final Update

Important: Do not toggle auto‑renew again while this banner is visible. Doing so may cause conflicting requests or delays.

Once the vendor confirms the change:

  • The banner disappears

  • The subscription will show the updated Auto‑Renew status

  • A pop up banner should appear at the top of the screen to confirm (screenshot below)

No further action is required.

  1. When to Raise a Support Case

Support should only be contacted if:

  • An error message appears when disabling auto‑renew

  • The pending change banner remains for an unusually long time

  • The change does not update after waiting several minutes

  • The Disable Auto‑Renew option is missing or unavailable

Support will then investigate the vendor's response and complete the change if possible.

  1. Important Notes / Limitations

  • Auto‑renew changes depend on vendor confirmation

  • Some vendors may restrict auto‑renew changes close to renewal dates

  • Support cannot override vendor‑side restrictions

  • Disabling auto‑renew does not cancel the current term — it only prevents renewal

Expected Outcome

  • Auto‑renew is disabled for the selected subscription

  • The subscription will expire at the end of its current term unless manually renewed

  • The change is reflected in Xvantage once the vendor confirms it
