Step 1: Associate or Manager Requests Access

  1. Go to My Apps and open Okta.

  2. In Okta, search for Xvantage for Associates and open it.

  3. Within Xvantage for Associates, hover over the left navigation menu and click Administration.

  4. Select Features.

  5. Click on Update my role (hyperlink) in the upper right side.

  6. This will open in a new window IM-Serve Catalog form X4A Associate Access Request.

Note: Please create a Generic Request (REQ) for X4A.GLBL.IM.SUP to add/update Operator ID in Production.

  1. Fill in the required fields in the IM Serve form.

    • Requested For: insert the applicant's name (yourself or on behalf of someone else).

    • Environment: Production, Beta, UAT, QA. Based on your selection, the Request Type will change automatically:

      • User Found: This appears when the user has existing access to the requested environment

      • User Not Found: This appears when the user doesn't have access to the requested environment

    • Request Type:

      • New X4A Associate

      • Update X4A Associate

      • Deactivate X4A Associate

  2. Add the Business Functions to the applicant by searching for the needed functions. See the attached file at the bottom of this article, "X4A user Roles and Permissions.pdf" for reference.

  3. Provide a legitimate business justification for single- or multi-role assignment. The system Admin will not approve the request if the business justification is not legitimate. Please mention:

    • Daily job responsibilities/Associate profile

    • Any recommendation from the Line Manager, Country Admin, or Senior Management

    • Any other legitimate business reason for role assignment

  4. Provide the IS # (Inside Sales Number), Operator ID, Secondary IS #(s) if applicable/available.

  5. Choose the country to be assigned. Select the checkbox Select All if access is required for all available countries.

  6. Click Submit.

Step 2: Line Manager approves the request

  • The applicant must obtain Line Manager approval, regardless of whether they are applying for themselves or for another Associate who is not their Line Manager.

  • When an employee submits a request, their Line Manager will receive a notification through the IM Serve Portal. The Line Manager can then approve or reject the request through the portal.

  • Once the Line Manager approves the ticket, it will proceed to the next stage of fulfillment.

  • Line Manager's approval is not required if the applicant's Reporting Manager submits the request.

Step 3: Xvantage System Admin approves the request

The X4A System Admin will evaluate an Associate's new user request and either approve or reject it, providing comments as necessary.
